Comments: The support team are very responsive and knowledgeable. Any issues are quickly addressed. Its very easy to use and it is great to have all our documents in the one spot and to be able to search for a document without knowing what another team member has called it. Tasking has also helped with workflow and the audit function enables us to see where a document is up to or who it is with.

Pros:

Ease of use and the way that is has enabled the staff to file things straight away so other team members can locate documents when another team member is away. The secure client portal and electronic signatures has streamlined our process and cut turnaround time in getting returns back from clients.

Cons:

That is is server based and not cloud based.

Comments: Overall quite good - works for what we need , however i dont believe we use it to its full potential.

Pros:

It's good for filing and sharing documents with colleagues. Also splitting documents is really useful more so now with remote working.

Cons:

Often crashes - dont like how if we rename a document and send to intray it looses the amended name so we have to rename before emailing to client. When we email clients - we use documents from various programs/sites and therefore need to put all in the intray to email in certain orders.

Great value for money

Comments: We have been able to almost completely stop using hard copy files overnight. The Cloud access is also veru important to us, and works well.

Pros:

Easy to use, intuitive filing and retrieving processes.

Cons:

It only accepts e-mails filed via Outlook, not Googlemail. I can't file sent e-mails until they're actually been sent due to the non-compatibility for Googlemail.

Ideal for Accountancy Practice's

Comments: Overall a good piece of software that has massively assisted our business.

Pros:

The audit trail / version control on documents is brilliant. Stops users editing the same document at the same time, but allows read only options so you can both see it and discuss. The audit log is good for seeing if a client has viewed a documents. It's easy to use and the customisations are good.

Cons:

The link with TaxCalc. For so long a link between VC and TaxCalc has been eluded to, but still we await this. It would mean we don't have to manually add a csv. with client details.

Comments: Ok

Pros:

Easy to use but slow to react at times which is a pain.

Cons:

Slow reaction times, specially when searching or changing clients or saving documents. Sometimes has a mind of its own and does not function as it should, which can be very frustrating.

Comments: pretty good. Would like to integrate with fuse docs but havent done this yet

Pros:

searching functionality , integrates with APS

Cons:

indexing time consuming and could be improved, lots of clicks and if type in client name too quickly it doesnt like it and have to start searching for name again which is awfully frustrating when indexing or searching . the fact that people saving dont put in decent descriptions or spell names wrong making searching difficult- (hard to fix!)

Useful tool, which saves a lot of time!

Comments: The software has been of great help to ensure that we no longer lose documents. It is now very easy to search for files, even if you had forgotten which year or client they were for. The older the documents, the more important this is. It is also very helpful for locating files created or archived by colleagues, when they are unavailable to ask.

Pros:

The software is simple to use, but powerful - with many tools to both file and search for documents in the archive. The levels of different search criteria, which can be used in conjunction, are very helpful. There are also a lot of customisation options to ensure that the tools you need are to hand.

Cons:

The plug-ins with other pieces of software can be tempormental. The Office Plug in sometimes disappears after an update, and the integration with our accounting packages sometimes encounteres errors and stops working.

16 Months with VC

Comments: Very positive. Once the team got used to it and were familiar with it we have become more efficient and reduced reliance on paper. We got it installed just before lock down and it was a game changer for staff working from home. The electronic signatures on documents has been particular useful in speeding up the turn round of documents.

Pros:

The set up and migration of existing files was straight forward. The software worked straight out of the box and what small technical issues we have encountered were resolved via the support line. I would say to make sure your server has enough horsepower to run VC as well as your existing systems. Our existing (old) sever was under powered. We upgraded to a new one shortly afterwards and have had no issues since. The portal publishing is worth the price of the package alone in saved time and postage costs.

Cons:

There is not much to dislike about the software. It does what it says it's going to do. I have never got the hang of the work in progress screen but that is just the way I tend to use VC. The interface might look a little dated but we have not moved over to the latest version yet.

Comments: I am able to store and retrieve documents reasonably easily

Pros:

I am ambivalent about this software - I have to use it as my company has invested in it.

Cons:

It seems quite "clunky" - this may be down to our systems rather than the software of course!

Great product would highly recommend

Comments: Customer service is quick to respond to any requests for help. They are knowledgeable and helpful to resolve any issues or questions you may have. As long as you have internet service this software is great and easy to set up and use. From posting, faxing and emailing documents to clients to now using our own Portal it makes getting sensitive documents to our clients with just a few key strokes.

Pros:

The look and ease of access to open, email, extract are all at the top. Searching for documents is easy to sort and find. Drilling down to find specific documents is easy. Saving documents and creating new categories is simple to use.

Cons:

Not much information for administrators to find how to do things if they haven't used that part of the software for a while.

Comments: Overall I have been pleased with the software. It does what we want efficiently.

Pros:

We operate a paperless office as far as we possibly can. VC provides the means for us to do this efficiently.

Cons:

The process of indexing documents from Word/Excel etc is "clunky". E.g once the location is chosen the "Next" button is at the bottom right of the screen and then when clicked the File Section is at the top of the screen. It would be easier if these options were close together. I find the fact that there is not an automatic link between our practice software (Taxcalc) and VC to update client details a daily cause of irritation. I would find it useful to be able to create template messages to go with portal documents being sent to clients. I also do not understand why clients can only send documents to users who have already sent them a document.

Comments: Too techy. Have lost documents on a number of occasions so now always ensure I save a back up in one drive rather than relying on VC.

Pros:

Reasonably easy to find documents if indexed correctly.

Cons:

Complicated to use. Training was inadequate. We only learnt how to use the software once we started using it. It was a very steep learning curve. Very little contact from VC following installation. Feels like we have no ongoing relationship. There are upgrades to the software per the VC home page - should we be installing? Would it be beneficial to our firm? No idea as no contact from VC.

Comments: I've had only positive experiences with Virtual Cabinet. I like the fact that it encourages businesses to think about the environment and the amount of paper businesses use. It has been instrumental in allowing us to work from home during the pandemic, as it is so much easier to find documents online rather than going through mountains of paper files. As mentioned earlier, it has helped our business to grow, become more modern and also made us help the environment by using less paper.

Pros:

It is very easy to use, self explanatory and user friendly. It saves so much paper and it allows multiple people to access documents at the same time. I like the fact that you can merge documents, edit them and also convert documents.

Cons:

I have been using the software for almost 9 years and I believe it has helped our business grow and become modern and also environmental friendly. I cannot fault the software.

Comments: It has been a great asset to my business and a great way of keeping everything filed securely and saves any need to print documents.

Pros:

This has enabled me to get documents securely to my clients efficiently and no need to print off and send for signing as they can provide me with a digital signatures especially due to Covid-19. It has also saved me postage fees! I have no need need to be concerned of loss of data with the documents saved securely in Virtual Cabinet.

Cons:

It was a bit difficult installing to my laptop due to the antivirus software I had which kept blocking the installation. We managed to get passed it by me temporarily removing the antivirus software so not ideal. When I add a new client in Virtual Cabinet I have to log out of the software and also my email which is linked so that I can then save emails and upload documents. It makes the process take longer than it should as it doesn't automatically update.

Comments: When it works leave it alone and be happy. If you need help be prepared to experience frustration and pain.

Pros:

Email storage add in and basic filing cabinet.

Cons:

Tech support, features that don't work as planned, like scanning from VC, customer support, billing, changing user needs is worse than it used to be. If something goes wrong we struggle with support.

Comments: Overall Virtual Cabinet is a great product with a wonderful and very helpful support team.

Pros:

I like that the software is able to be customised to the fields required by the client. Locating and saving files is a breeze. The Virtual Cabinet Portal is also a great feature as well as the implementation of Tasks.

Cons:

The lag time searching and typing in search. Tasks documents that need to be moved into a preferred order also has a long lag time which can be frustrating. The new look of Virtual Cabinet Portal also makes it harder to navigate sections on the upload screen.

Like the system

Comments: Overall good. Like most programs we are not using it to it’s full capabilities

Pros:

The flexibility to set up a structure that suits my business was a must. Ease of finding and sharing documents is good. Security on our server is important.

Cons:

The conversation process didn’t go as smoothly as promised. Many files ended up in a general “pre VC” folder. Unable to access outside of local server a frustration.

Good for reducing physical storage requirements.

Comments: Enables us to minimise the paper documentation we need to keep, which reduces storage needs.

Pros:

I have nothing to compare this with, having never used anything similar, and the software was already installed at the company when I began working there. It successfully saves documents, enabling us to be paper-free. Creating new document types, and searching is straightforward; reindexing is a problem at the moment following an 'upgrade'. It may have more capabilities that I'm not aware of.

Cons:

We have had problems for the last few months following an upgrade which seems not to have been compatible with the Virtual Cabinet/Act! combination that we use, and it's slowed down the workflow. It's taking much longer than I would like for it to be resolved (now at seven weeks). A new attractive appearance doesn't compensate for the problems it's caused.

Workable but has its bugs.

Pros:

simplicity for end users, flexibility in data handling and structure in the backend

Cons:

No clear documented guidance on setting up the vast options available in Cabinet, Folder and List structure. This is something that even IT professionals may struggle with as you are trying to mirror the processing structure and systems for multiple departments and users. IT knowledge alone is insufficient a background in Systems Analysis would be very helpful. I have both but inherited a setup already in place that needs to evolve with changing systems. The potential is that changing things now will force a reindex of thousands of documents. Initial planning of Cabinet, Folder and Lists and compulsory fields on which to index is vital.

Comments: Great way to stroe client and firm documents all in one place and finding them is easy to do so

Pros:

Great way to store and sort source docs for our firm. All doucuments in one place and sorted by categories relevant to our firm. Each user can acccess the files and find or search for them with ease. auto file saving from our outlook

Cons:

when we change a name of a client and then try to find it in VC it doesn't always auto synch with the older documents.

Pros:

VC let's us easily and quickly store, share and archive files across our workplace. Scanned documents are easily saved to a PC, printed or emailed.

Cons:

Searching for very specific documents can be tricky. WHen you know the document is there, but not quite how it was saved. This is less of a VC issue and more of a user issue.

Savvy document management product

Comments: It is a useful tools although it is linked to our APS subscriptions which we are paying anyway.

Pros:

It is easy to search for a document within each client. This system helps to ease the physical paper filing & storage space.

Cons:

Cannot think of anything which I don't like
